Consent Record

Learn how to record proof of consent.

name or ID

Who consented is recorded on the constituent record. Interactions are listed under the Interaction tab and indicate who created the constituent record or modified it when values are changed on the constituent record. The Created by field on the record also indicates who created the record.

timestamp, date

Every interaction in Luminate Online has a timestamp. This interaction shows when the status of consent changes.

consent statement, privacy policy

Within Luminate Online, specific custom fields need to be created for each channel of consent. Those field changes would be saved on the interaction record.

field changes saved on the interaction record

source, URL (if online), user name (if into CRM)

Every Luminate Online record has an origin and the method of creation is recorded. If the consent fields (opted in/opted out) were on the record at creation that can be determined.

link or attachment

The form that was used on Luminate Online can be determined, but there is not a built-in place or method to store an attachment for this. However, on form submission the URL of a form could be customized to be saved.

example interaction record

  • Per channel
  • Email
  • SMS
  • Mail
  • Phone
  • Auto-phone
  • Social
  • Other

Every type of consent would need to be created as a custom field.

Under Setup, select Database Configuration.

database configuration menu

On the Contact Database Configuration tab, select Additional Information.

additional information menu

Once there you can customize these fields:

Per data processing

Also a custom field for opt in.

Per communication type (i.e. Appeals, Newsletters)

Luminate Online has a functionality called Interests that allows for segmentation of opt in within different types of messages.

Options available –

  • Opt-in
  • Opt-out
  • No response

Within Luminate Online, the option to have a checkbox selected or cleared by default is left to the administrator during configuration of any given form. The options are boolean, so determining "No Response" vs leaving an option with its default setting would require customizing the response mechanism to a single option multiple choice drop -down, which is possible, but means that the saved value on the constituent record would not be boolean, it would be text.
